I wanted to take a moment and thank the new executive for taking on their new adventure as being a part of the chapter executive. Look towards your chapter for support and encouragement throughout the year. Take moment and log on to the TOPS website and get all the information about your chapter that is needed. There are reports there that are very beneficial to you. I would like to thank those who were able to attend our 2011 FUNshop~ Start Your Engines! If there are any new questions or issues, please do not hesitate to contact me, any time. I have been asked to send the leaders a copy of the chapters and meeting information in your area and I will do that under a separate email. News from Headquarters In the past several months, we've come across instances of national television shows (like Doctor Oz) and magazines (Women's Health) inviting their viewers and readers to also submit their success stories and photos for consideration in a possible upcoming episode or feature. Below is a list of opportunities that I invite you to share with your members. Each webpage has specific instructions on how successful "losers" can submit their information. Publication/posting of success stories is up to each organization, and there is no opportunity to follow up – but we feel these opportunities are worth the effort. All four bulletins have been mailed and the last one is the tentative agenda and I’m looking forward to seeing you there. Yearly Audit: The yearly Audit is now due; please forward it to me, along with a copy of your bank statement. Please mail them to me as soon as you are done. The deadline date is May 31, 2011. Membership forms: There are a few reminders about memberships, whether they are new or renewals, please be sure to put the weight in .25 lbs. and encourage everyone to bring in their membership renewal when they receive them. The renewals do tend to tear apart, please don’t worry about that, no need to tape or staple. If you have to use a membership blank for a renewal, please be sure to put the membership number in the upper left hand corner of the form, or the word RENEWAL across the top. Did you know……….. Every member is eligible to apply for a free retreat? You will find the details in the TOPS News, February 2011 issue, on page 18 Did you know…. The offer to have a Health Care Professional receive the TOPS News still holdsand they may get the handouts if requested. Well, it’s officially here ~ SPRING~ April showers bring May Flowers!  It won’t be long when we’ll be enjoying the great outdoors.  I would like to thank the out-going executive for their devotion and care to the members and welcome the new executive aboard and wish them all the best in the New Year. I’d like to remind you to keep your GPS (Goal Pursing System) turned on and remember, no matter what road you take; you are not travelling it alone, we’re all on the same journey.

Leaders, have you responded to the chapter survey now available on www.tops.org after logging in as leader in the Leader’s Corner at the bottom of the list of on the left?  Please take the time to do this, thank you.  

 

Did you know that eighty percent of our chapters now have Leader email contacts listed? Being able to contact our chapters quickly by email is really helping TOPS keep everyone up to date. TOPS is so grateful to all who are helping in this way that we are offering a special "thank you" which will be featured in July TOPS News for all chapters who have a current email address listed for the leader. So, make certain that your chapter has an email address listed for the leader by July. In addition, you may want to plan Open Houses and other chapter activities to attract new members during the fall to increase the benefit from this bonus.

 

Chapters will earn credits for each new full price member joining between July and December. TOPS will email the chapter a monthly accumulated total of credits earned. When there are four credits, you just print out the email, attach it to any full-price membership or renewal and send it to your coordinator with no money!  The theme for 2011 Open House is “Road To Success”. These materials will be available in August and announced in TOPS News.  In addition, there is a $250 chapter drawing from new member tickets, which I write up and send in to Myrna Bennett, Regional Director and one winner will be drawn from each RD.  This runs from IRD 2010 to May 31, 2011. 

 

TOPS News is always looking for articles and here are a few topics to consider with a deadline of April 22nd

 

·       Vegetarian Lifestyle – stories of healthy, successful protein substitutions, photos

·       Golf – how does this sport tie in with a healthy lifestyle? – stories, ideas, photos

·       The Road to Success (2011/2012 theme) – progress reports, updates, activities, successes, photos

·       Cut and Burn Challenge – progress reports, updates, activities, successes, recognition efforts, photos

 

Medical Excuses Clarification

If a member on a medical excuse weighs in, that weight must be recorded on the weight chart with a ME beside it.

When member on a medical excuse attends a meeting, note ME beside the weight entry, not instead of the weight. 

i.e.) 150 ME

i.e.) AB  ME

i.e.) EX  ME

If a member attends and does not weigh in, member is counted absent whether on a medical excuse or not. 

 

Transfers:

When a TOPS member transfers out of your chapter, they need a transfer weight chart (TR).  When the new chapter receives this weight chart,

They will be kept on that form for the rest of the year and inform the Coordinator of the transfer.  I will send you a new form once I have it available, if you prefer that to an email.

 

PRD:

The following email is your chapter’s March newsletter; please take a few minutes and read it at chapter and if you feel there isn’t enough time this week, but want to do it next week, and then at least put it where it can be read by everyone; you can bring it back to chapter next week and read it then.  Please take time and read it before your elections.

March is here already, for some it came in like a lion, for others, like a lamb and only Mother Nature knows for sure, exactly how it will leave.  There are some very important dates and information that needs our attention, which are listed below.

Chapter Resume

The resumes have been mailed out to the leaders; all certificates have been included in the same envelope.   Remember to show the results to your weight recorder & assistant and double check that the certificates are correct.  If there are any problems, let me know. 

Now, this is the perfect opportunity to thank those who completed the resume and for all their hard work and devotion to TOPS.  So, stand up and give your weight recorder or assistant, a hug and a big THANK YOU!!!

 

March Executive Elections

The first week in March is election time throughout TOPS.  Please bring the L-001, Officers chart, with you on election night, fill it out immediately, sign it and mail it directly to me ASAP.  You will find the rules for elections in the Chapter Manual on pages 17 & 18.  If you have any questions, please do not hesitate to ask.  

DID YOU KNOW?  If someone is unavailable to attend the elections and wants to hold a position on the executive, they can submit a letter of willingness to do so and can be elected.   

 

Treasurers Unite!

It’s getting close to the end of your executive year, and to that end, you need to complete the L-047, yearly audit form.

You can find this form on the TOPS website; be sure to send the signed copy along with a copy of the March 2011 bank statement directly to me.    

 

Chapter designate forms

These forms need to be completed annually, so if you wish to have someone be the chapter designate on the TOPS website for this executive year, please submit this form to me. 

 

Executive FUNshop – “Start Your Engines”

Your Area Captain has planned an executive workshop for those who are interested or are on the executive this year and you will soon be receiving an invitation with the details.  The workshop has been organized to accommodate every chapter in the area. There is a charge to cover costs which is evenly divided between all chapters.  So, whether you attend the FUNshop or not, your chapter still owes. 

Please RSVP your reply to your Area Captain and the monies are to be sent to her, or brought with you at the time of the FUNshop.

Good day,

 

It’s February and I’m sure you’ve heard that ‘Wiarton Willie’ saw his shadow which indicates an ‘early spring’.  I hope he had a chat with Mother Nature, because she’s in charge. I want to thank the weight recorders and their assistants for the work and dedication throughout the year and not to forget the annual Chapter resume.  Kudos to you, for all the care and devotion you have and I’d like to remind your chapter members, that if you haven’t hugged your weight recorder or assistant lately, now is a good time!   I want to congratulate all the division winners, KOPS and Royalty, for their accomplishments in this past year and continued success. 

 

Open House & Health Fairs

 

This is the season, so why not have an open house and advertise TOPS.  If you know of a health fair in your area, please let us know so we can be a part of the event and let people know that TOPS is here!  If you have had an open house, let us know how it went.  Remember, not everyone will be ready to join TOPS because we are having an OPEN HOUSE; but they will know we are there, because you advertised your OPEN HOUSE and when they’re ready, they will know where to go.

Auditorium with Barb Cady:

The TOPS Auditorium Chat originally scheduled for February 1, has been rescheduled to take place on Tuesday, February 8, at 9:00 PM (EST),

in the Member/Leader/Staff Area of www.tops.org. An auditorium chat is a written conversation involving questions, answers and discussion among all attending members and our guest speaker ~ TOPS President Barbara Cady, and the topic is “On the Road with TOPS.”

 

If a member has never logged on to the Member Area of www.tops.org, that must be done before they can visit the Auditorium. Here are the instructions:

 

If new to the website, you must request access to the secure portion after clicking on the Member/Leader/Staff Area tab—click “Help” and click one of the appropriate links listed. Your chapter ID is the state/province postal abbreviation, a space and your four-digit chapter number (i.e. WV 0319).

 

If you have already requested access and are returning, sign in by entering Login and Password.    Login—Seven-digit TOPS member number. Member number is found on the TOPS membership card printed on the back cover of TOPS News.

 

Password—the initial password for members consists of the first two letters of the first name and the first four letters of the last name (all lower case letters and no spaces). Members with less than four letters in their last name must click “Help” after entering the Member/Leader/Staff Area.

 

For security reasons, the password should be changed after first login. Be sure to make a note of the new password.   After log in, to access the auditorium, log in to the Member/Leader/Staff Area of www.tops.org. Click “Auditorium” in the blue box on the left side of the page. Then, check “Guest” and enter a User Name of your choice, then click the Login button.

 

No password is needed. Select “TOPS Auditorium” and you will be in the correct area. This is a moderated room. You need to click on the moderator’s icon and send your question or comment directly to the moderator. It might be a good idea to take a “test run” before the actual Auditorium date—this will help your comfort level with accessing this function on the website.

March is just around the corner and the first week of March is Election Week in all TOPS chapters.  Let me know if there are any problems.

Okay, just reminding you that time is moving on and PRD is quickly approaching.  Check the cut off dates for hotels, promotions and recognitions and be sure to submit them when due.  Hope to see you in Sarnia.

 

Did you know…..?

Be sure to read to the bottom, as there are a few Christmas Holiday Tips for everyone.  Thanks for everything you do for TOPS and your chapter.

Chapter News

At the Obesity Society Conference held in San Diego, Dr. Michael Jensen from the Mayo Clinic received the TOPS Scientific Achievement award for over two decades of research related to diabetes and body fat distribution. This award presentation will be featured in an upcoming issue of TOPS News.

 

International Recognition Days 2011:  Plans are well underway for a super IRD 2011 in Milwaukee, Wisconsin on July 7-9, 2011. Make plans to visit the hometown of TOPS, the Happy Days family, the Fonz, Lavern and Shirley.

 

RESUME WORKSHOP:

Thank you to everyone who attended the WR workshop and to ON31 St. Catharines for setting up the use of their facility, once again.  Leaders, please remember to go on the website and check your membership; make sure that everyone is active who is suppose to be and that everyone is listed.  It would be wise if the Weight recorders were able to access to the chapter’s report on the TOPS website ~ let me know and I will send you a designate form.

Chapter Manual:

CLARIFICATION:  Wording of TOPS Rule 17,a. shall match wording in Chapter Manual:  “No adult member may have a goal weight higher than his/her highest weight recorded at TOPS Club, Inc.” Remember to remove your new TOPS Rules from the centerfold of the December/January issue of TOPS News and save it for reference throughout the coming year.

 

TOPS Website:

More new features are being added to our member section of www.tops.org each week. Please, enjoy browsing the member section and take full advantage of the new features. There is even a secure place to log and track your weekly weigh-in progress. In January 2011, Message Boards shall be removed from the TOPS website. Members will continue messages and discussion on the Official TOPS Facebook page. Thousands of TOPS members are enjoying the TOPS Facebook experience.

 

New Members:

If new members have an email address on their membership form, they are registered as part of TOPS database, they shall automatically be sent a welcome message containing their TOPS membership numbers and will ask them if they are using the copy of “My Day One” they were given at the chapter at their first meeting to begin their TOPS journey. Please make certain that this is included in the new member packet your chapter presents to new members. Your coordinator has copies to resupply you when you need more for new members.

 

“My Day One” shall be posted as a resource for all members in the member section of www.tops.org. All members received the newest version of “My Day One” in their December/January 2010 issue of TOPS News.

 

Renewal Members:

It’s that time of year!  Check out your membership; be sure that they are active as they will have a membership number.

Weight Recorder/membership person: First and last weigh ins are in .25 lbs. only as well as all membership forms.   

Treasures please put your maintenance form and cheque into the resume envelope; be sure to put the total number of active membership registered at TOPS Club Inc. in the appropriate box.

Ten Tips for Eating a Healthy Diet during the Holidays

Follow these simple tricks to help you enjoy the holiday season while keeping a balanced and healthy diet.

 

1.  Take the edge of your hunger before you go. Eating a snack or light meal, especially one high in protein, like cottage cheese, nuts or chicken will help you eat less later.  Fasting ahead of time, leaving room for a big meal, or planning extra trips to the buffet table often leads to overeating.

2.  Fibre is your friend. Choose appetizers that will help you meet the recommended guideline of five to 10 servings of vegetables and fruits a day. The fibre in salads, vegetable dishes and fruits will help you feel full, while you benefit from their vitamins.

 

3.  Small is good. Take smaller servings of dishes that appeal to you. This is especially important at a buffet, where you may want to try everything. Choose the items you want to try the most, and eat a small portion of each.

 

4.  Take your time to enjoy the taste. Many times, people eat so fast that their stomachs do not have enough time to register that they are full. Eat slower, savouring each bite and enjoying the taste of the food. Chances are you will eat less and not overeat.

 

5.  Stay away from fast food. Don’t let a hectic holiday schedule force you to rely on eating fast food often. Plan ahead and prepare and freeze quick healthy meals to help stay out of the fast food trap.

 

6.  Bring a low-calorie dish to holiday parties. Your host will appreciate it – after all, you’re not the only person concerned about putting on weight! Plus you’ll know that at least one healthy item will be on the table.

 

7.  Avoid alcoholic drinks. Regular eggnogs and other drinks made with syrups contain a high amount of calories. Wines and spirits are also high calorie, and can encourage you to eat more. Try replacing alcoholic drinks with flavoured, calorie-free waters, sparkling fruit juice, low-sodium vegetable juices or hot cider instead.

 

8.  Get some exercise. Find ways to incorporate some daily physical activity during the holidays. Enjoy a brisk walk, either outside or at an indoor mall. Exercise can be a huge stress reliever and will burn up some of those calories.

 

9.  Be realistic about the chances of gaining weight. It is useless to try to diet during the holidays. Instead, set a goal to maintain your present weight.

 

And most importantly ~

10.  Be kind to yourself: Even with planning and the best intentions, you will probably fall off the healthy wagon at some point. Pick yourself up, forgive yourself and get back into the healthy lifestyle.

It's November and the year is slowly coming to a close; it's time to get ready for a chillier season.  I want to congratulate all the winners and achievers at your Together We Can rally, well done! 


TOPS Club Inc.

TOPS headquarters has mailed out the following package to the leaders and you should either have it or it’ll be in your mailbox this week.  It will include a supply of weight charts for the New Year based on active members, new and renewing, per records at Headquarters for each chapter.

* Chapters of 20 or fewer members will receive 20 TOPS Weight Charts (Form L-027T) and 3 KOPS Weight Charts (Form L-027K)

* Chapter of 21 or more members will receive 30 TOPS Weight Charts (Form L-027T)        and 6 KOPS Weight Charts (Form L-027K)

*All Chapters will receive one Transfer Weight Chart (Form L-027TR)

Based on an analysis of chapter size and composition, most chapters will receive enough weight charts for the coming year.

If you need more charts, you are welcomed to download them from the Forms section of the TOPS website and printed, or they can be copied at a local copy store. 

I can also send you an attachment and you can save it onto the computer and then print some off. 


OPEN HOUSE 2011

It is my plan to advertise in the local newspapers for an OPEN HOUSE in January, so please be prepared for visitors, as always.

PRD 2012

It's official!  Provincial Recognition Days 2012 will be held at The Aud, in Kitchener on Thursday, June 7 - Saturday, June 9th.  I have many themes that have been submitted and will have a final decision for the December newsletter.  The next step will be our INVITATION that will be presented in Sarnia, at PRD 2011.  If you would like to be a part of our invite, please let me know and I’ll add you to the list and keep you posted. 


RESUME 2010

Well, it’s that time again, RESUME!  Now’s the time to sort out your weight charts, have them filled in completely, be sure that they are signed, membership number included and you are able to state what Division each person will be included, as it is determined by the first weigh in of the year.  


Treasurers:  Please submit your chapter maintenance for 2011, in with your chapter resume. The total number of members in your chapter is based on the members registered at TOPS headquarters; please be sure to check your chapter report, if you are not sure.

Good day TOPS Pals,

It’s October and that means it’s time to think about Thanksgiving and the reason why we’re so lucky to be where we are today! 

Take time for yourself and your family and go for a drive; enjoy the scenery of the fall colours, smell the brisk fresh autumn air and remember to take time and smell the roses.  The weather is slowly turning and we are preparing for yet another season. 

 

TOPS New Member Bonus Contest

This contest has been extended for another year, as chapters earn a ticket for each new chapter member joining during this time period. Coordinators will keep track of tickets. One winner will be selected for each Regional Director’s combined area for a total of 9 chapter winners.  Winners will be selected and announced by each RD on stage at IRD in Milwaukee and a cheque for $250.00 will be awarded from TOPS Club, Inc. to each chapter selected.

 

OPEN HOUSE

So why not have an open house and what a great time of year to have one.  Invite the community in to see what TOPS is all about.  Please let your Area Captain know if you are having an open house so that we can help spread the word.

New in the ‘TOPS NEWS’

They are working on a feature story about couples’ travel and honeymoons—and would like to highlight members' stories on this topic. Do you have any chapter members (couples) who have memorable stories to share about their honeymoon and/or travel? How did those experiences relate to their TOPS journey? To be considered for inclusion in the feature, these stories and photos should be in our hands no later than Monday, October 25.

 Here are a few other topics to consider when sending in items for inclusion in the magazine:

  • Open House follow-up ideas, stories, results
  • Cut and Burn progress reports, updates, activities, successes, recognition efforts
  • Workplace chapters updates, successes, ideas
  • Holiday-themed events, stories, activities
  • Road- or Traffic-themed events, stories, activities, ceremonies, programs
  • TOPS Retreat or Retreat Cruise stories, successes, updates, photos

IMPORTANT REMINDER: Photographs are a vitally important part of any story and they add to the quality appearance of the TOPS News magazine overalland headquarters have not been receiving usable photos -- they've been too small, not high-resolution, scans, shots from cell phones, and other formats that can't be used ~refer to Chapter 11 of the TOPS Chapter Manual for guidelines on how to submit photographs correctly.

We are planning a Weight recorder/assistant WR workshop; this can be attended by anyone who is interested and is geared toward the year end Resume.   It would be beneficial to complete the upper portion of each weight charts with the proper information and be sure that all the charts are signed; this is an important part of the resume and time consuming if it’s left to the end of the year.  Looking forward to seeing everyone there.

Wow ~ September ~ who would believe it?  Children and teachers alike are back in school which means rally is just around the corner.

The weather is changing, leading us out of one season and directly into another.

New Member Bonus Contest

The winning chapters in the New Member Bonus contest selected at IRD 2010 in Halifax, Nova Scotia will be listed in an upcoming TOPS News.   

 

TOPS New Member Bonus Contest restarted July 1, 2010 and runs through June 30, 2011. Chapters earn a ticket for each new chapter member joining during this time period. Coordinators will keep track of tickets. One winner will be selected for each Regional Director’s combined area for a total of 9 chapter winners.  Winners will be selected and announced by each RD on stage at IRD. 

A cheque for $250.00 will be awarded from TOPS Club, Inc. to each chapter selected.   

There will also be a draw at PRD in Sarnia in 2011 and a prize of $50.00 will be presented to 1 chapter. 

 

So why not have a welcome night or open house, advertise it in the local newspaper ~ place it in the community section as that is typically free of charge.   Let me know what’s happening in your chapter, whether it’s a walk, welcome back night or open house, I’d love to hear.   

 

Did you know…..?

 

…..you can renew on the TOPS website as long as it is before your renewal date?  However, there are 2 things you need to know:

 

a)    you can not post a weight with the renewal, so if your highest weight is at this time, it will not be recorded at TOPS headquarters and will not count.

b)    You can not renew online if your are past your renewal date

 

…….that the TOPS website www.tops.org has had some exciting additions and changes. The opening page now displays before and after pictures of our terrific losers and changes frequently. There are super resources and short videos in the member section. The Leader’s Corner is chocked full of ideas for meetings and for recognition of members.

A terrific new accountability tool has been added to our TOPS Tool Box. Members can now log and track their weekly weights on the web. After logging in, click on My Weight Record in the list on the left side of the screen. Member may enter weights after each chapter meeting. Loss or gain and a running total will be calculated after each entry.  A notice of this new tool will be in the November TOPS News.

Hi there,

How has your summer been?  Can anyone tell me where July went?  I happened to look up and it was gone, amazing!  And I think the lazy, hazy days of summer have arrived and I do hope you are enjoying the season.

 

 “Set Your Sites on Harbour Lights” was the theme for IRD Halifax ~ and it was a great IRD.  The guest speakers were second to none and there were 4 of them in all.  The General Sessions were wonderful, as you watched our ‘New You’ parade dazzle their stuff, Barb Cady do a ‘soft shoe’ while our International Contest Winners were awaiting their certificates; how about the hospitality room with entertainment of Electra Gold & Elvis and a whole lot of dancing and singing., TOPS walk on the boardwalk, Men in TOPS, KOPS Society Gathering, (first time at IRD)  We watch as Jean Wimer, our 50 year KOPS Alumni lit the Circle of Light, which was a sea of blue and yellow.  Some say it was the colours of the Nova Scotia tartan, others saw the candles on the water and whatever your interpretation of the circle was, and it was beautiful.  There was so much more and next year promises to be a good one too~ Happy Days with TOPS on July 7, 8 & 9, 2011.  Hope to see you there!

 

Although PRD is in the back of our minds for now; I wanted to take this opportunity to let you know that we are hosting PRD in 2012.  I would like to invite everyone to “Name Our PRD”.  Send me a theme & suggestions for the next 2 months, August & September, and the winning chapter will receive a free PRD registration. We’re closing in on the city that will host PRD, as there are three being considered: Guelph, Kitchener and Niagara Falls. 

 

Chapter News

I have the opportunity to visit chapters and I’d like to thank you for the hospitality; there is always good news, neat ideas and many celebrations ~ everything from no gain nights, to new and reinstated KOPS.  How exciting!  Have you seen the new format for the TOPS website?  Check it out; it really does get better all the time. 

 

As the leader or designate leader for the TOPS website, you are able to access a load of ideas, meetings and suggestions for your chapter; you can check IMIS (data program) for your individual chapter, and look at it and see if everything is as it should be.  Did you know that any TOPS member can register on our website and find their personal information; if you have moved, you can change your address immediately? 

Chapter supplies of My Day Ones and membership forms are ordered through me; an email will do the request or simply add the supply order form with the memberships you send me in the mail.  I have attached an order form which I will bring the supplies with me to your rally this fall.   

If you need anything sooner, just email me and I can mail it to you.  To note, that I no longer have the award orders forms as they are sent to you via headquarters or you can print them up from the TOPS website or I can email you an attachment.  I’m looking forward to seeing everyone at fall rally, until then remember:

June is on its way out the door and July is only a short time away.  I’d like to wish everyone a Happy Canada’s day and

Hopes to celebrate it as a proud day for all of us and to know just how luck we really are in this country.

 

TOPS News:

As we mentioned in last month's email, we are working on a future story about Nordic Walking and would like to tie members' stories to it regarding their experiences and successes. To be considered for inclusion in the issue, these stories and photos should be in our hands no later than Monday, July 19.

 

Here are a few other topics to consider when sending in items for inclusion in the magazine:

  • Open House ideas, stories and results
  • President's Cut and Burn Challenge progress reports, updates, activities, successes, recognition efforts
  • 2010 Area Captains' Program (Stress Management) stories, successes, follow-up activities
  • Workplace chapters updates, successes, ideas
  • Holiday-themed events, stories, and activities

With July brings our International Recognition Days which are being held in Halifax Nova Scotia this year.  We’re anxiously

awaiting its arrival as we ‘Set Our Sites on Harbour Lights’!  Many members have taken the opportunity to book personal holidays

Around IRD and will enjoy the countryside and beauty of the Maritime Provinces.  It’s not too late to register and spend some time

‘Down home’ for many.  If you are registered and an spare a few hours to help out in the promo room, let me know.

 

I’d like to spend just a minute talking up the TOPS News. What a wealth of knowledge, information and stories it is. 

Take some time to read it, even spend a few minutes at chapter reading out something that you find interesting,

or that your chapter may enjoy.

 

Summer months can certainly become very tricky when it comes time for summer meals, planning and keeping your eye on your goal.

Don’t let the weather (no matter how bizarre it might be) fool you into losing your sight.  Remember to keep you GPS turned on and

‘Recalculate’ when necessary.

Good day,

I hope this message finds you well and active, gearing up for summer, enjoying the weather and a busy time of year for outdoor activities. 

Thank you to the executive who spend the time caring and doing for the chapter, past and present alike. The FUNshop was a blast and I hope you are able to bring back something that you heard, shared or saw, to show your chapter that “Change is Good…You Go First!”  Please read this email to your chapter, and then post it somewhere for everyone to see for the next few weeks, please. 

 

Area Captain Donations:

Area Captains do not receive any money for IRD, and as such you have sent me a donation to help supplement some of their cost.  I would like to thank those chapters who have donated this year and if you haven’t yet done so, it’s not too late.    

 

Over the past year I have heard many statements from different members and non members talking about what’s what in TOPS. 

Here are a few ‘Myth & Facts’ that I’d like to share with you.

 

TOPS MYTH:

You need to have a goal slip to join TOPS?

TOPS FACT:

You need $30.00 or $15.00 for teens/spouse of a TOPS member and that’s it!  You do not need a goal slip when you join or soon after.

 

KOPS MYTH:

You have to become a KOPS once you reach goal

KOPS FACT:

We encourage members to maintain their goal weight and experience being a KOPS but the choice is yours.

 

TOPS MYTH:

You have to weigh in if you attend a meeting.

TOPS FACT:

We encourage members to weigh in, as we are a weight loss support group, however, our focus in support, and if a member does not want to weigh in, they are welcomed to stay for the rest of the meeting.  However, they need to be told that they are marked as AB and the consequences of 4 AB’s in the row will be applied, both to TOPS members and KOPS members which is loss of division winner and KOPS status. 

 

TOPS MYTH:

We are not allowed to advertise

TOPS FACT:

We are non profit & non commercial organization, but we can find ingenious ways of advertising. There is an advertising fund, which is generated by the TOPS “Ad pin’ that is sold at PRD, to help supplement some advertising.  If you are interested in the pink flag pin, at $4.50, please let me know. They make a great gift at chapter. 

If you have a question and didn’t know if it was MYTH or FACT, please ask and we’ll set it straight. 

 

Yearly Financial Audit

Treasurers, it’s your turn to complete a yearly audit of the financials books from April 1, 2009 to March 31, 2010.  Please send it along with the March 2010 bank statement to me.  Receipts and photocopied cheques are not necessary, thanks.  Please use the provided headquarters form for your audit and I’m looking forward to hearing from everyone.  If there are any questions, please contact me, thanks.

 

President’s Challenge ~ Cut & Burn

Are you participating in the 2009-2010 President's Challenge to Cut 100 calories a day and Burn 100 calories a day! Making small changes can result in as much as a twenty-pound loss in a year. That would be a terrific contribution to our goal of a million-pound loss among TOPS members, which has been extended to the end of 2010!

Wow, how did that happen?  It seems that we were just talking about bulletin #2 and May is almost here.  By now you will have your hotel confirmation information and getting ready for PRD ~ May 27 -29th, come Carry a Torch for TOPS. I’m looking forward to seeing you Carry Your Torch for TOPS, see you soon.   

 

Chapter Challenge

Guess what?  It definitely is not a myth but is a fact ~ you and I will welcome the TOPS members from all over Ontario to come and visit us in 2012, as we celebrate PRD ‘somewhere’ in our area!  I’ll work on finding a place; you work on a theme and I’m looking forward to hearing the different ideas and suggestions.  If you are interested in working on the PRD committee please let me know.

The clocks have changed and we have forwarded into spring-time weather and Spring is officially around the corner ~ with that fresh feeling in the air and a time of new beginnings.  Congratulations to the executive of 2010-2011, for being part of an important part of your chapter and I’d also like to acknowledge those who played an active role last year, from all of us at TOPS, thank you.  There are just a few notes for your chapter members, thank you for being the email contact and insuring these newsletters are shared at chapter. 

 

IMMEDIATE ATTENTION:  TOPS Headquarters

The Dr. Oz Show is seeking men and women of any age who have reversed their heart disease through natural methods, like diet, exercise, or other lifestyle changes.  It doesn't matter where they live, but if chosen, the members should be willing to appear on national television to share their story.   If you know of any members who may be interested in this opportunity, please send me their name, age, hometown, phone, and email address by this Friday, March 19, at 2 p.m. EST, and I will forward the information to the producers of the show.

FUNshop:  This day is designed with the executive in mind, as we gather together to learn, share and encourage new and returning executive to understand their role, learning the new rules and how was can make TOPS fun!  By now you have March 29th on your calendar, looking forward to seeing you there.      

 

Bylaws:  It’s that time of year when you take a moment in your chapter and review your bylaws.  Have a copy ready for everyone to read during weigh in or to take home and read; then during the meeting or the following week, ask if everyone has read them, have any questions about them.  If there are no changes, state they will be kept as read and noted in the secretary’s minutes.  If there is a change to be decided upon, have a vote.  Send me a copy if there has been a change, which also includes your dues, meeting time or day as well.  You can scan/fax it to me, if you wish.  Attached is are sample bylaws for those new chapters who may need a guideline.   

 

Yearly Audit:  The end of March is nearing and all present treasurer’s should be gathering their quarterlies together, so you can do a quick yearly audit, send it to me, along with a copy of your March bank statement. 

 

IRD:  Wow, hard to believe that time is marching on and we are less than 4 months away from ‘Setting your sites on Harbour Lights’ as we gather with your TOPS pals on July 15-17 in Halifax, Nova Scotia.  On behalf of your Area Captain, I would like to thank your chapter for their donations made to the Field Staff.  You can find all necessary forms to register on line at www.tops.org or in your TOPS News. 

 

PRD: Are you ready to Carrying Your Torch for TOPS, at Peterborough this year?  Your hotel and PRD registrations are due; please check the appropriate dates for the recognition presentations.  If you have an Alumni KOPS who will be receiving a longevity award, please be sure that you have sent me a longevity form, S-051, for the award.  The heart shape award no longer comes with a necklace so be sure that your KOPS is aware of that.   If you have any questions about PRD, please ask.

Good morning!

 

It's the last week of February and that means March is around the corner….and that means elections are on their way, to be held on the first week of March.  If there are any issues about the date, please let me know.  Be sure to read your

new chapter manual which you received if there are any questions about elections, as there are changes to the rules.  Even if all your executive wish to stay as their present position or a new one, elections must be held.  Once your elections are complete, send the officer’s chart to me, ASAP. 

If you are able, you are welcomed to fax or scan the chart if you wish and then mail the original, thank you. 

 

Resume:

Okay, this is it! Most should have your resumes; please check out the certificates ASAP to ensure all is good.  Be sure to share the resume results with your weight recorders as they did such a wonderful job spend a few moments and thank your weight recorders for the awesome job they do. 

 

Executive:

Your Area Captain is planning an Executive FUNshop to be held in the couple of months; everyone is welcomed as the day will be geared towards the executive.  Please be sure to bring your new chapter manual with you.  I’m looking forward to seeing you there.   

 

Advertising:

If you are interested in advertising please let me know and we can work together.  What a great gift for your division winner or chapter members.  One great idea is an OPEN HOUSE or Welcome Back meeting and include the entire chapter to help plan your event.  Even if you’ve never had a visitor before, this is still advertising that you are there and available.  To help with advertising, don’t forget that I have the TOPS logo ad pin for sale at $4.50 each. 

 

Odds & Sods:

Leader Login information has been updated and the attached form is the instructions on how to log onto our website.  Please request membership forms and My Day Ones for your new members through me on a chapter supply form.    Your TOPS News is the main source of what’s happening in TOPS, new and old alike. ‘Goodies in the mail’ is a small section that indicates what has been mailed out to the chapter from headquarters.  There are programs, recipes and much, much more for everyone. 

 

TOPS Website:

You have got to check out our website, if you haven’t done so lately.  I have attached the “NEW” website leader instruction and the good news is that changes were made to the website to simplify the login process.  Yes, for security reasons there has to be a second login when going to the membership database but I think it is easier now.  Check your February TOPS News for changes on the website, it is amazing and what a great tool for your chapter programs.

Good day,

 

It’s amazing just how fast time passes by; here it is, nearing the end of January.  Chapter resumes are coming near the end of stage 2; by the end of the week I will have the Area resume complete so that they can be calculated along with the rest of the Ontario weight charts, to see who will be our winners at PRD 2010, in Peterborough as we ‘Carry a Torch for TOPS’.  I would like to thank all the Weight Recorders & Assistant Weight Recorders who have worked so hard on chapter resumes.   The dedication of time spent on the paperwork, the rules and charts are truly amazing.  Thank you, for all you do.    

 

How is ‘BURNi’ doing in your chapter?  Are you doing the ‘Cut and Burn’ challenge that was given to us from Barb Cady?  We can do this, keep it going!  I am attaching a sample template of a TOPS year and there are some specific dates, as in elections and other dates included just as suggestions.  It gives you an overview of what the year looks like in TOPS.  You are welcomed to adjust it according to your chapter functions as planned. 

 

You received two Chapter Manuals which have replaced the old Chapter Guide and Weight Recording Guide.  Please be sure to shred or recycle your old books as they are no longer of any use.  Be sure to put them into a binder as they are designed with 3-hole punch sheets for convenience.  One copy is for the leader/co leader and the other is for the Weight Recorder/ WR assistant.   

 

‘Why wait for spring…Join TOPS Now!”  It’s a catchy theme; why not give it a try.  January & February are great months for an OPEN HOUSE.  If you plan one, please let us know and we can help you advertise and get set up for the event.  

 

The first week of March is chapter elections throughout TOPS; a nervous time for some and anxious time for others.  A chapter’s survival depends on the executive.  I have been asked if an existing executive wish to remain on the executive, does an election need to take place.  Yes, elections are necessary no matter who is staying at what position on the executive.  If you have any questions or concerns, please give me a call.

 

Come “Set your Sites on Harbour Lights at our International Recognition Days, IRD, being held in Halifax, Nova Scotia on July 15, 16 & 17th as this promises to be one of the best.  Everything is at your finger tips as you log onto the TOPS website at www.tops.org and click onto Events and there you will find all the information about IRD, including registration.  TOPS encourages Field Staff to attend IRD so that they will be a part of the event and share with their chapters what they have learned; to help encourage and motivate you.   As Area Captains receive no monies for attending, I would like you to consider a donation for them to help defer costs, sent directly to me, please.

Hello TOPS Pals,

It’s true; the end of the year is approaching! Have you prepared yourself for the season?  Are you ready?  Have you done what set on doing for yourself this year? Have you reached your goal or desired destinationRemember small steps, starting with the first one, go for it!   Rallies are all over now and every one of them was very enjoyable and excellent.  Thank you to all those volunteers who work so hard on rally for their area.  The leaders have been sent a package that will have your weight charts for next year.  What a great time to have your members sign their charts, have that all cared for and not worry about it. 

 

REMINDERS

WEIGHT CHARTS:

Are you weight charts in order?  Do you have the information at the top of the page filled in?  Have you figured out what division everyone is in?  Are the charts signed by the member?  Do you need any membership numbers?  It won’t be long now and I’m anxious to be doing the resumes.  Be sure mail them to me by January 8, 2010.  If you need any help whatsoever, be sure to contact me, please.


MEMBERSHIPS AND FORMS:

Please check your chapter supplies and ensure that you have at least 5 membership forms and 5 My Day ones on hand.  If you are short of any forms, except for the Award order forms, as they are replaced by headquarters, please send me a request for them.  Soon you will all be receiving your TOPS News, with a present to you from Headquarters.   

 

New Memberships:  Be sure to let new members know that if they wish to purchase The Choice is Mine and/or the workbook, they can do so on the membership form; $16.00 for the Choice is Mine (discounted) and $10.00 for the workbook.  This is ONLY available to order on the membership forms for new members.

 

Renewals: I have been told that membership forms are being held back until the exact date they are due, which can cause a lapse in membership as it will not get to headquarters until it is past due.  Ask your members to bring in their renewals as soon as they get them in the mail.  With the year end just around the corner, it is wise to have everyone renewed throughout the holidays. If someone is a division winner and their membership is due throughout the holidays and are inactive, it will disqualify them.  If you need a list of your active membership, please check the website or I would be only too happy to help you out on that.  Please do not use a blank renewal form in replacement of a lost form.  Simply fill out a new form, put their membership number at the upper left corner and/or write RENEWAL along the top of the form. 

 

TEENS/SPOUSE MEMBERSHIPS: 

Spouses and teens have a membership of $15.00, understanding that they will not receive the TOPS News.  If they wish to receive the TOPS News and they do have that choice, then the membership fee is $30.00. 

 

MAINTENANCE FORMS:  (L-20 Maintenance form attached)

Your chapter maintenance is due January 1, 2010 and I would like to remind you to send it in with your year end resume.  Insurance forms are being requested, which I will be more than happy to send to the chapters.  You only need to worry about this if your meeting place has requested insurance. Be sure to send American funds directly to headquarters.  The year of insurance is November 20, so if you send your request in January or June, it will still be renewable November 20 of that year.  Send in your request the beginning of October to be sure that there will be no lapse in the policy. 

 

CUT & BURN CHALLENGE: 

How is it going with the new president’s challenge?  Are you spending time at chapter discussing how everyone is doing with the challenge?  With the holidays close at hand and about to surround us with all its joys and stresses, remember that’s it’s okay to say NO

And meet Barb’s challenge of cutting 100 calories and burning 100 calories.

Wow, it’s time you went and checked out our website, it has certainly grown to be a wealth of information.  You will find many new features, if you have not already seen them.  Krames Online Health Education Library is a great resource on many health issues; the first in a series of Health and Wellness videos prepared by Juli Ulrey on Weight Loss Basics is available and there will be a new video each month.  Go and check it out and see how you can enhance your chapter meetings with the available information. 

 

OPEN HOUSES:

Now’s the perfect time to set your calendar for an open house if you already haven’t done one this fall.  Advertise it throughout the holiday season geared for January/February.  What a great way to enhance your chapter and invite people to join you in a healthy lifestyle change.  I have various ads that I’d be happy to share with anyone.  I’m here for you, so all you need do, is ask.

Dear TOPS pals,

 

Wow, it’s the end of October, the months are flying by.  I understand there that the countdown is already started for Christmas!  This is an exciting time of year for TOPS chapters as we are celebrating in our areas at rallies, learning at our ‘play days’ and nearing the end of our fiscal year which means ~ Weight Recorders Unite!  It time to get geared up for your chapter resume. 

Your leader will soon receive a package from headquarters which will have your resume, new weight charts and good news about the chapter manuals; keep an eye out for it.  Be sure to check out your TOPS News, it is has the chapter programs, IRD information, contests and much more.  Be sure to check out Barb Cady’s challenge, Cut & Burn and share it with your chapter. 

 

PRD 2010:  Carry a TOPS Torch for TOPS in Peterborough on May 27, 28 & 29th

Chapter resume:

If you need more TOPS weight charts, please let me know & I will get them to you.  Please send 3 copies of your chapter resume, along with the weight charts, KOPS charts included.  Keep a copy of your KOPS weight charts for your records.  If you are using a digital scale remember that the first and last weights are recorded in .25 lbs increments for all calculations.

Please send the maintenance form and cheque, payable to ‘Carol Harper’, with the yearly chapter resume, due January 8, 2010.  The total number of members registered with your chapter, please put this number on your form, this is not the number of active members attending chapter, but rather the number of active members that is registered with headquarters.

1 -10 members = $12.00

11-20 members = $24.00

21-30 members = $36.00

31-40 members = $48.00

41 - 60 members = $60.00

61 - 80 members = $72.00

81 -100 members = $84.00

Over 100 members = $96.00


 

Financial Audits:

Please include a photocopy of the last bank statement in the audit.  I do not need any receipts.

Your TOPS News now has the membership card for all members on the back page, this is how you will get their number and it’s a great resource of information.  Check with your members to see if they are receiving their magazine as this is how to find out if they have an active membership.
